HMGT 164 Conference Management

The course provides students with an introductory approach to planning and executing meetings, and conferences. The course examines practical advice on every aspect of organizing and managing meeting logistics, such as how to choose the best venue; preparing and managing the budget; scheduling; coordinating food and beverages; managing housing and registration and staffing.

Course Objectives

  1. Identify the initial planning and budgeting steps when putting together a conference.
  2. Develop a conference timeline, taking into account organizational and timing functions.
  3. Discuss topics related to conference logistical management, including event setup and flow, audiovisual needs, registration and check-in process, transportation, signage, and role of event staff.
  4. Develop and communicate conference setup requirements, including function specifications and function and exhibit floor plans.
  5. Create conference materials, including the event invitation, schedule, website content, and marketing plan.
  6. Describe the food and beverage function's role in the conference, and develop a menu that meets cost, allergy, and dietary needs considerations.
  7. Summarize the process required for evaluating a conference, and develop an evaluation for a delegate, exhibitor and management.
